Exporting News Coverage into an Excel File

Modified on: Mon, 21 Nov, 2022 at 9:10 PM

Exporting news coverage into an Excel file can help generate your own charts and graphs, provide a client or leadership with a spreadsheet, or use the data to find the most relevant clips for your organization.

If you are exporting news coverage that is in a different language than the language setting you use in Microsoft Excel, we suggest you either export into an .XLSX file or follow the steps we have outlined below to export into a .CSV file so the foreign language is exported accurately into an Excel file.

There are 3 different places within the platform where you can export news coverage for a search, which includes the A.) Search Preview Screen, B.) Earned Media page and the C.) Widget Article List View. Please note where the Export button is located in each scenario below, then continue scrolling (or Click Here) to learn the best practice for exporting news coverage into a .CSV file.

A. Export News Coverage from a Search Preview Screen:
B. Export News Coverage from the Earned Media Page:
C. Export News Coverage from the Widget Article List View:

Select from 4 Exporting Options into an Excel file in the pop-up window:

  • Select a .CSV file (Default)
  • Select a .SCSV file
  • Select a .XLS file
  • Select an .XLSX file

NOTE: You may select to have the export emailed or download the file.

Best Practice to Export News Coverage into a .CSV File:

NOTE: This process outlines how to export multiple languages into Excel from sites using the file origin of Unicode (UTF-8). If a website does not utilize this file origin and it is imported into the Next Generation Cision Communications Cloud without that file origin, then the export for that piece of coverage may still contain special characters or shapes in the .CSV file.
1. Click on the Ellipses button.
2. Select the Export option (See images A-C above).
3. Select the .CSV File radio button, then click on the Wait for Download button.
3. Open up Microsoft Excel and select a Blank Workbook.

4. Click on the Data tab in Excel.
5. Click on the From Text/CSV option.
6. Select the .CSV file, then click on the Import button.
7. In the File Origin box, select Unicode (UTF-8) as the file origin.

8. Click on the Load button.

9. Text in languages different from those used in your Excel language settings will be imported with appropriate letters and characters.

NOTE: If you export the news monitoring list into a .CSV file without following the above steps, you may see special characters instead of the letters/characters you should see for foreign languages. The image below displays the same exported news monitoring list as the one above, but it was exported from the platform and opened in Excel without changing the file origin.

Note: This is only applicable for certain users
